Privacy Policy

This page explains what data we collect, how we use it, and the choices you have—including when you connect Gmail for OTA booking sync.

Treckme is a WhatsApp-first operations platform for property teams. We process data to run bookings, check-in/out, tasks, guest services, billing, and follow-ups. This Privacy Policy explains our practices, including our optional Connect OTAs feature that lets you link a Gmail account to detect booking emails from online travel agencies (OTAs).

1. Who this policy applies to

This policy applies to visitors of our website, users of Treckme (hosts, owners, managers, staff), and to guest data that our customers upload or manage inside Treckme to operate their properties. If you choose to connect Gmail, this policy also describes how we handle Google user data obtained through Google APIs.

2. Data we collect

A. Account and business information

Name, email, phone number, role (owner/manager/staff), property/company details, and settings you configure.

B. Operational data you add to Treckme

Bookings, guest details you store (such as guest name and contact details), check-in/out information, tasks, orders (food/services), billing totals, invoices, and messages/notes linked to operations.

C. WhatsApp and messaging data

When you connect WhatsApp or use WhatsApp-first workflows, Treckme may process message content, timestamps, delivery status, and related identifiers to deliver messages and automate actions.

D. Gmail data (optional — Connect OTAs)

If you voluntarily connect a Gmail account in the Treckme dashboard (Connect OTAs), we request read-only access to that mailbox through Google OAuth (gmail.readonly). We also receive your Google account email address and basic profile information needed to identify the connected account. We use this access solely to help you sync booking-related emails from OTA platforms (such as Airbnb, Booking.com, MakeMyTrip, Goibibo, Agoda, and Expedia) into Treckme. We do not request permission to send email on your behalf or to modify/delete your emails.

E. Usage and device data

Log data such as pages/screens viewed, feature usage, IP address, browser type, device identifiers, and error logs.

F. Payments and billing

If you purchase credits or paid services, we may process billing details such as invoices, payment status, and transaction references. Payment card/bank details are typically handled by payment processors, not stored directly by Treckme.

3. Gmail integration — how we use Google user data

When you connect Gmail, Treckme accesses your mailbox only to provide the Connect OTAs feature you enable. Specifically, we:

  • Receive notifications when new emails arrive in the connected inbox (via Google's Gmail API and push notification mechanisms).
  • Read email metadata and content needed to identify OTA booking messages (for example: sender, subject, date received, message snippet, and message identifiers).
  • Parse booking-related fields (such as guest name, stay dates, property reference, and confirmation details) to create or update booking records inside your Treckme account.
  • Store a limited copy of processed message metadata in Treckme so you can review synced booking activity and avoid duplicate imports.

What we do not do with Gmail data

  • We do not use Gmail data to serve advertisements.
  • We do not sell Gmail data or use it for marketing lists unrelated to Treckme operations.
  • We do not use Gmail data for purposes unrelated to providing or improving the Connect OTAs booking sync feature.
  • We do not allow Treckme employees to read your Gmail content except when necessary for security, compliance with law, debugging a specific issue you report (with your permission), or as part of aggregated, de-identified internal analytics.

Google API Services User Data Policy.Treckme's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. How we use your data

We use data to:

  • Provide and operate Treckme (bookings, tasks, guest services, billing, notifications).
  • Sync OTA booking emails into Treckme when you connect Gmail (optional, user-initiated).
  • Send operational communications (WhatsApp messages, alerts, reminders, links, and updates).
  • Power automation and AI features (for example, turning messages into actions).
  • Provide support, troubleshoot issues, and improve reliability and security.
  • Comply with legal obligations and enforce our terms.

5. AI and automated processing

Treckme may use AI to understand commands, detect intent, and help automate workflows. Depending on your configuration and usage, this may involve processing parts of messages and operational context to produce actions and recommendations. For Gmail-connected booking sync, automated processing is limited to identifying and extracting booking details from OTA emails. We do not want sensitive personal data unless it is necessary for operations.

6. How we share data

We may share data with:

  • Service providers (sub-processors) that help us run Treckme (hosting, storage, analytics, messaging/WhatsApp delivery, customer support, and AI providers). Google processes OAuth authentication and Gmail API requests when you connect Gmail.
  • Your organization (admins and authorized users) as part of normal team operations.
  • Legal and safety partners when required by law or to protect rights, safety, and prevent fraud/abuse.

We do not sell your personal data or Google user data. We do not transfer Google user data to third parties except as necessary to provide or improve user-facing features of Treckme, comply with applicable law, or as part of a merger, acquisition, or sale of assets with equivalent privacy protections.

7. Data retention

We keep data for as long as needed to provide Treckme, meet legal/accounting requirements, resolve disputes, and enforce agreements. Retention may vary by data type (for example, invoices vs. message logs).

Gmail-related data: While your Gmail account remains connected, we retain OAuth tokens and synced message metadata needed to operate Connect OTAs. When you disconnect Gmail in the Treckme dashboard, we revoke API access, stop new sync activity, and delete the integration record and associated synced message metadata from our systems within a reasonable period, subject to backup retention cycles and legal holds.

8. Security

We apply reasonable technical and organizational controls to safeguard data, including encryption of stored OAuth tokens and access controls limiting who can view operational data. Access is limited to authorized personnel. No system is 100% secure; please avoid sharing passwords or highly sensitive information over chat unless necessary.

9. Your choices and rights

You may request:

  • Access, correction, or deletion of personal data (subject to legal/operational limits).
  • Export of certain account or operational data, where available.
  • Help updating your WhatsApp and notification preferences (where applicable).

Disconnecting Gmail

You can disconnect a linked Gmail account at any time from Connect OTAs in your Treckme dashboard. You can also revoke Treckme's access from your Google Account permissions page. Disconnecting stops further email sync and triggers removal of stored integration data as described above.

If you are a guest of a property using Treckme, your request may be routed to the property/operator who controls the booking and guest data.

10. International transfers

Our service providers may process data in different countries. When we transfer data, we take steps to apply appropriate safeguards consistent with applicable law.

11. Children

Treckme is intended for business users and property operations. We do not knowingly collect personal data from children without appropriate authorization.

12. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page and change the “Last updated” date above. Material changes to Gmail data practices will be reflected here before expanded use of Google user data.
